A clear volunteer roster, showing exactly who is working which shift and what specific task they are responsible for, prevents the confusion that can otherwise unravel even a well planned community event once the actual day arrives and everyone is genuinely busy with their own particular role.
Building in some overlap between shifts, rather than a hard, immediate handover, gives outgoing and incoming volunteers a genuine chance to pass on any relevant information without a gap in coverage at a task that genuinely still needs attention during that transition period between one volunteer and the next arriving for their own shift, still fresh and ready to help.
Sharing the finished roster with everyone involved well before the event, rather than only on the day itself, lets volunteers plan their own time properly and raise any genuine conflicts early enough to actually be resolved, rather than discovering a scheduling problem once the event has already begun.
