Public liability insurance protects organisers if someone is injured or property is damaged during an event, and many venues will not allow bookings at all without proof of adequate cover already in place. Understanding this requirement early, rather than discovering it during venue negotiations, saves real time and avoids awkward last minute scrambling.

Cover levels vary depending on the size and nature of an event, with larger gatherings or anything involving activities like food service or equipment hire typically requiring higher limits than a simple small gathering. Getting an accurate quote early, once expected attendance and activities are roughly known, avoids paying for cover that does not properly match the actual event.

Some community organisations can access group insurance schemes through umbrella bodies, which is often considerably cheaper than an individual policy for a single one off event. Asking around within relevant local networks before purchasing directly can genuinely reveal options that are not obvious from a simple online search alone.
