Handling last minute cancellations gracefully

Volunteers, vendors and even key speakers occasionally need to cancel at short notice despite everyone's genuinely best intentions, and having at least a rough contingency plan in mind before this actually happens makes the inevitable moment considerably less stressful for an organiser already juggling a great many other details at once.

Maintaining a small, informal backup list of people willing to step in at short notice, even for a fairly minor role, genuinely reduces the disruption a late cancellation can cause. This does not need to be a formal or heavily documented arrangement, simply a mental or written note of willing, flexible contacts.

Responding calmly to a cancellation, rather than visibly panicking in front of other volunteers or attendees, also matters considerably for morale on the day itself. A composed, practical response reassures everyone else involved that the event genuinely remains firmly under control despite the last minute, unwelcome change.
